Setting Up the Team
Don't worry, you don't have to understand databases to use KeepersLog. All the details are hidden behind a simple and intuitive interface. Also, you don't have to set everything up for a team at once. You can enter just what you need now and enter the rest as needed.
Create an account
Users can go to the Register page to make an account so they can use the app. App users will also be directed to register when they try to do more than look at these help pages. You will need a user name, an email address, and you will need to pick a password. Each KeepersLog user for the team should have their own account so you know who checked stuff in and out. Team members don't need accounts unless they are going to check items in and out themselves.
Create or Join a Team
Pick a name for a new team (must be a name that hasn't been used by another team yet) or type in a name for an existing team and the team owner will be alerted that you want to join as a KeepersLog user for that team. Click the link for information about team roles.
Add Team Members
Enter team members that you want to check stuff out to. You can also add notes for each team member. If KeepersLog is being used to track costumes, you will want to use the notes to indicate inseam, waist size, neck size etc. Notes are left as a single large text field so you can enter whatever you want.
Add types of items to track
You may only have one type of item you want to check out, or you may have lots. You may also add a few types of items now and do the rest later. An example of an item type might be "tux jacket", "flashlight", or "red shirt".
Choosing Item Types
If you happen to have 50 flashlights, unless you have different types of flashlights you want to track, you only need to log one flashlight item type to cover all 50 flashlights. It is an option to break out some articles of clothing with different sizes as different item types (e.g. "top hat SM" and "top hat LG"), or you can just have one item type for top hat and record the size of the hat in the notes for each top hat item. As a rule of thumb, unless you have over 40 top hats and 10 or so hats of each size, you might want to just have "top hat" be your item type and enter the size of each hat in the notes.
Add Individual Items
This step is fast for each item, but if you have a lot of items it may take a little time. Before you start adding individual items, each item you enter must have a unique tag (see ← Before You Get Started) and a previously entered item type. For each individual item you enter the following:
- A unique tag string - see above.
- Notes - This part is important, because the notes will help you decide who gets which item when it is time to assign items to members. So, for costumes this is where you will want to put size information and any notes on item condition.
